Present: 58 units represented


Candice Dyck – Northtowne

Call to Order – Meeting was called to order at 8:15pm, 58 units of the 112 units were present, therefore with the unit owners and proxies represented, quorum was reached as per the Condo Act.


• Moved by Unit 8, Carried by Unit 106

Introduction – Candice Dyck is the new property manager for Northtowne replacing Gord. Northtowne continues to be responsible for our financials.

Approval of Previous Minutes – Minutes of AGM held on August 19, 2019 were approved.


• Moved by Unit 18, Carried by Unit 4

Appointment of Auditor – We have been using Price Waterhouse the last couple of years. The last audit was mailed out via email and is also available on the website. Motion to use Price Waterhouse for this year.


• Moved by Unit 69, Carried by Unit 54

Financial Report: The financial report had been emailed out previously. This report is a budget as well as income/expense report. The actuals are the previous months that have already occurred and the budget are the months moving forward that haven’t occurred yet. Although the insurance rate decreased this year the cost of replacing the buildings increased this year which then increased our insurance rates. We are also trying to keep 2 deductible payments in the bank. Next year we need to do the reserve fund study. It was last done in

2016 and must be done every five years. There is no increase in condo fees for this year.

Old Business – Concerns expressed about the intercom not working on the West side of Building F. When the condos were first built they were originally only supposed to have intercoms on the garage side. There are lots of issues with existing intercoms in a number of buildings so we need to decide if we want to replace all 14 intercoms (2 in each building) or move to just having one intercom per building and replace 7 additional intercoms. The board will get updated quotes and mail out to all units for feedback before making a final

decision. Concerns about the names on the registry in Building F being incorrect. If need the directory changed email hayleycommon2019@gmail.com

New Business

- Concern about the sidewalks and parking lot being slippery. Garage #25 is for the condo use and the code is ####. There are numerous bags of salt that anyone can take to fill the containers in the entrances of their condos. There is also ladders, and other items available for borrowing.


- Discussion about pigeon issue. It was suggested that the condo purchase a drone to scare away the pigeons. The board had reached out to 5 pest control companies for quotes and only got 1 quote from Abbell for $7,000/building. Due to high cost it was determined that no further steps would be taken at this time. It was also suggested that people put fake owls on their balconies if they are having issues with the pigeons.


- Pet Registry – The board will no longer be needing to approve pets coming into the building. The question was asked if anyone wanted to maintain a pet registry list but this would require a volunteer to maintain the list. It was suggested that Pet Value and the Humane Society has peel off stickers that identify that there is an animal in the condo and this could be used as a way to determine if there were animals in the unit in the case of a fire. Condo board will look into these further.


- Concerns about people not cleaning up after their dogs. In order to deal with the issue we have to know who is not picking up after their dog. If you see someone not cleaning up after their pet and know which unit they come from, please email hayleycommon2019@gmail.com and the board will follow up.


- The question came about Building A needing their smoke alarms replaced. Yearly we have the fire inspectors come in and they replace the smoke alarms as needed.


- Concern that when the fire inspector came in May that deficiencies have not been addressed. In unit #69 the alarm in the bedroom is not working. The board will look into this.


- Concerns about the drainage between F and G. Vandemeer had come out and was to provide a quote but the plans have not been received to date. The board will follow up in the spring with additional contractors to get more quotes. Garage 25 also has a sump pump and hoses that are available if anyone needs to keep any water of their patios.


- Concern that there is no longer any pest control around the condos. There used to be boxes outside in the fall and spring. It was suggested that people put the sonar pest control outlets on their balconies to keep pests off their patios. The board will look into the cost of additional pest control.

Election for Board of Directors – There were no new nominations received for the board. The five existing members all agreed to stand. They were introduced and nominated by acclimation.
