Hayley Common Board Meeting # 51
September 25, 2025 – 6:30 PM

Meeting called to order at 6:45 PM; quorum validated.
Review of meeting minutes from July 24, 2025; approved.
President’s Report
Vice-President Ken Jennings led the meeting in Heather’s absence.
Kody Cavers was not in attendance to present his report.
Treasurer’s Report
Treasurer Shelby Joss sent regrets. The monthly financial statement was reviewed by all board members present and approved.
Committee Reports
Parking
Nothing to report.
Maintenance
Buildings transformers need to be cleaned; Prospect Management will ask Spruce Maintenance if they are able to add to their list.
Fire doors in some buildings are being left open. Reminder will be sent out to make sure these doors are kept close at all times.
Board notices have been removed from the bulletin boards without the Board’s approval. These notices are information for all condo owners and the Board will remove as necessary.
Light bulbs burnt out in buildings will start being replaced beginning to mid October.
As the weather is getting colder a date will be set to shut off outside taps.
One (1) new carpet for building E has been laid on the garage side entrance. The second one has been ordered.
Looking at possibility of window cleaning being done twice a year, in 2026, depending on cost.
The Board voted to purchase and put up four (4) more signs; reminders to pick up after your dog. There has been an improvement in the amount of dog waste left behind.
Old Business
A meeting will be set up for garage owners to engage with two (2) companies to discuss how they will deal with the flooding issue. Garage owners would then have an opportunity to ask any questions they may have. Prospect Management to advise of meeting date.
Painting to be done in Building C & D pending date first week of November. Prospect Management will send out notice regarding the dates and advise condo owners what day they will need to be available.
Spruce Maintenance will start Hayley Common list of repairs October 13, 2025. They should complete all jobs between 1-2 weeks.
The roof inspection has been completed. Prospect Management is awaiting the report to share with the Board.
Kiwi Construction came out on Friday October 3, 2025 to check some of the cracked sidewalks under warranty. Prospect Management is awaiting the report to share with the Board.
New Business
The Board has voted in favour of going ahead with new intercoms and security cameras for all buildings both front and back. Echo Alarms will be doing the installing. Prospect Management has spoken with MTS to obtain a set monthly fee for the operation of the intercoms and cameras. Start date to be announced.
A financial statement will be sent out to all condominium owners once a month. If there is no newsletter for the month the statement will still be sent.
The Board has voted in favour of contracting Kindret Landscaping Inc. for Hayley Common’s 2025-2026 snow removal and maintenance.
Prospect Management has presented the Board with building cleaning quotes. The Board will take under advisement.
Boux Plastering Inc. will come out this year to access stucco repairs on buildings. They will provide a quote and if accepted, work will start in the spring.
Our auditor has been working on our audit. Northtowne Property Management has failed to provide information required for the audit. Prospect Management has been discussing this with the auditor and the Board to see how we can move forward. Once the audit is finalized the AGM will be scheduled.

Aaron took general questions from the Board and provided opinions on upcoming projects.
Aaron shared information regarding adding new tabs to the Propra website. The tab would read, Buying and Selling.
