Board Meeting #4 Minutes - Dec 5, 2019

Hayley Common Board Meeting December 5, 2019 Called to order: 4:04pm Present: Brian (Pres), Wayne (VP), Doug (Director), Marc (Treasurer), Lynda (Secretary) Absent: Gord (Northtowne) Motion: approve minutes from Oct24 meeting – 1st: D, 2nd: M President’s Report:

  • Audit Approval – with 1 change of typo $4800 instead of $800 (note 4)

  • Motion – 1st: M, 2nd: L

Treasurer’s Report:

  • No issues with monthly statements – reviewed

  • Water increase of $100+ (fall tree & green space watering)

  • Additional info B sent to M to review – including hydro, eavestroughs, light bulbs (A), etc

Maintenance Report:

  • Parking stall, breaker keeps kicking off #X – D manually turned on/held – stays on ok now

  • Parking stall #X/visitor stall, box is broken/damaged

  • Units #X & #X – closed up for the winter and will continue investigation & fix

  • Fixing the fence at the north end / tenant damage

  • Resident/Bldg G – interior wall cracks, owner responsibility

  • Garage #X, man door damaged by quad

  • Tenant damage – board/B to obtain additional info re: adding a charge to cover tenant damage to common elements

  • Bldg D – west door/master key needs keyed for the master to work again since repair (to be fixed w/ next locksmith visit)

New Business:

  • Motion walkway lights, along the fence, requested additional, B to look into pricing and buying more to install

  • Social media – typos flagged, page edited and sent to RC, need parking info more prominent on page, condo board email link isn’t working & can be fixed, insurance certificate link needs fixed, ask SR to create a website launch(?), B suggested posting financials monthly on page

Parking Report:

  • Duplicates of tags – W is trying to resolve and has eliminated some dups

  • Garage/parking spot changes & swaps – need to be coordinated through Northtowne as this info is included on land title details

  • Swapped 2 spots temporarily & will swap back once owner is done physio

  • Owner vs owner issues, refer to bylaw docs, municipal laws and RCMP if needed
