Hayley Common Board Meeting
April 26, 2021
Called to order: 4:40pm
Present: Brian (Pres), Wayne (VP), Lynda (Secretary), Marc (Treasurer), Gord (Northtowne)
Motion: approve minutes from previous mtg – 1st: Brian, 2nd: Wayne
Motion: update Condo Rules & Regs as reviewed by Board April 2021 – 1st: Marc, 2nd: Wayne
President’s Report & Maintenance:
parking lot sweep - consults from service providers, sweep only quotes
12 month property maintenance/service agreement with Vandermeer - ok’d by all
Motion: 1st Lynda/2nd Marc/3rd Wayne
will discuss option to hydroseed dead spots and pricing needed to refill black mulch area by shrubs
window & patio glass cleaning - obtaining quotes, 1 rec’d from Picture Perfect
East side of Bldg B door - fixed
drywall redone for 3 garages, waiting to complete 1 remaining
units in A with leaking from overhead, will confirm that fix was effective after significant rain, interior will be fixed/repaired once verified
common area lights, repair is ongoing - looking for tap/die sets and will continue to repair over warmer months
Bldg B - Jeremy may consult/assist with electrical work
some downspout/eave extension damage was determined to be caused by overhead snow/ice fall from roof overhang
Treasurer’s Report:
Prior month financials – ok’d
Motion: approve – 1st Lynda, 2nd Brian
AR arrears - 2 units with recent moves and payment/contact info to be set up, 2 units were also left notices at the units
Garage rental amount, reduced by $50/mo from prior months
Parking Report:
available rent or for sale parking spaces - contact Gord, he can then provide info for available parking spaces to Wayne & Lynda which can then be posted on FB, etc
1 recent garage sale complete / 1 parking spot needed & found
parking passes are going well and info for AOP contact email has been updated to show 10pm contact and Wayne’s email address
Social Media:
website updated monthly for financials and after each board mtg
FB posts for parking, financials & minutes have been completed
will add HC Marketplace banners to all bulletin boards and then share a FB post and blog post letting owners & residents know that they can pin info/ads there for buy, sell & available services
Old Business:
new occupants need to be verified - whether they are new owner’s or new renters/tenants - for each new renter, owners must provide rental levy fee to Northtowne
New Business:
need to start prep for next year’s insurance - Gord has contacted Rod re: insurance for next year - advised to budget 10% annual increase + 5% for materials
May, mid month planning fire inspections - approx $6K cost, previously used Freedom Fire, will also receive additional quotes including ABC Fire
