Hayley Common Board Meeting # 47

March 27, 2025 – 7:00 PM

Unit 67 - Building E

 

 

Present:

Heather Bakeman, Ken Jennings, Shelby Joss, Evan Race, Patrick Lyttle, Adrian Durrant, Kristine McCallum.


MAL’s: 

Jenny Carloni, Rae-Lynn Rempel, Kylie Pantel.

Aaron Albas, President, Prospect Management

Meeting called to order at 7:08 PM; quorum validated.

 

Review of meeting minutes from January 30, 2025 approved. There are no minutes for February 27, 2025 as meeting was cancelled.

 

President’s Report

·       Heather provided a Code of Conduct form for all of the Board and Members-at-Large to sign. Completed and will scan into drive.

 

Treasurer’s Report

·       January and February 2025 financials were reviewed and approved.

 

Committee Report

 

Parking

·       Nothing to report.

 

Maintenance

·       Concern from resident regarding gap found on upper patio. Evan sent photos to Prospect Management who will have someone come down to check on this issue.

·       The Board will do a walk around with Prospect Management in or around the middle of April 2025 to look at warranty work, and any new or existing maintenance issues that require attention.

 

Old Business

·       Exit door repairs and new locks have been completed by Brothers Locksmith.

·       One damaged door was fixed and is awaiting a new lock.

·       Prospect Management sent out a mass email with details for any residents wanting additional entrance keys.

·       Waiting on Canada Post to inspect and approve Canada Post Key Boxes. Prospect Management will reach out for the latest update. Note: As of posting date this task is completed.


New Business

·       Next Hayley Common newsletter will be sent to unit holders and tenants the first week of April 2025. Please watch for it. Note: As of posting date residents should have received the newsletter.


At this point in the meeting Aaron, President of Prospect Management, provided updates and information for the Board.

·       There are still single digit PAD’s outstanding. Prospect Management completing this task.

·       All Hayley Common bills have been changed over to Prospect Management for them to handle.

·       Prospect Management will provide The Board with a proposed budget within 30 days.

·       Prospect Management is inquiring as to the cost of new intercoms.

·       Prospect Management has been in touch with different contractors for spring cleanup; lot cleaning, window washing, carpet cleaning.

·       Prospect Management is receiving quotes for summer lawn care, pest control, fire alarm service. When they have received all quotes, they will discuss the options with The Board.

·       Prospect Management has introduced ideas for the garage flooding. Prospect Management will be emailing information to all garage owners in the near future.
