Meeting called to order at 7:02 PM; quorum validated.
Review of meeting minutes from November 28, 2024 approved.
President’s Report
·Heather provided information regarding the expectation of Members-At-Large and their role within the Board.
·Contract end date approaching for Sunshine Maintenance & Landscaping. The Board has asked Prospect Management to obtain other quotes for Lawn Care and Snow Removal companies for comparison.
·The Board has asked Prospect Management to research other Pest Control companies. They will report back to the Board.
·Advised Prospect Management that no invoice has been received for the last snow removal. They will look into the matter and report back to the Board.
Treasurer’s Report
·November 2024 and December 2024 financials were reviewed and approved.
Committee Report
Parking
·Patrick reported that three (3) cars were tagged for parking in visitors after hours; there have been no repeat
Maintenance
·Part of fence was damaged by snow removal company. Prospect Management will reach out to Sunshine Maintenance & Landscape to discuss repair.
·Concerns regarding Sunshine’s summer and winter’s maintenance was discussed. As stated above the Board will receive quotes from Sunshine and other lawn care and snow removal companies.
·Replacement of maintenance items that were stolen have started to be replaced.
Old Business
·Rules and Regulations, the Hayley Common website, Hayley Common Facebook page and Building Boards have all been updated with new contact information for Prospect Management and any errors that were found have been corrected.
New Business
·Discussed what items would be included in Hayley Common next two (2) mass emails to unit holders and tenants.
·Canada Post outside building lockboxes need to be reconfigured by Brothers Locksmith due to new specifications from Canada Post.
·Outside buildings A-G, front and back entrance doors will be getting new locks. Any broken cylinders, door sweeps and miscellaneous door repairs will be completed at the same time.
At this point in the meeting Aaron, President of Prospect Management, took the floor to provided updates and information for the Board.
·Update regarding on-boarding. There are still some PAD’s outstanding, however they are confident in having this completed soon.
·Unit Owners and Tenants contact information. Aaron would like to compile a current list of unit owners and tenants with their contact information (email and phone), cars and license plates. Having this information would provide quicker access in the event of an emergency or any pertinent information required by Hayley Common residents.
·New entrance door locks/keys. Aaron has been in touch with Brothers Locksmith to coordinate distributing the keys to residents before the locks are changed. Information will be sent to residents in advance advising what the procedure will be. The Board will also work closely with Prospect to ensure a smooth transition.
