Hayley Common Board Meeting

May 12, 2020

Called to order: 6:59pm

Present: Brian (Pres), Doug (Director), Marc (Treasurer), Wayne (VP), Lynda (Secretary)

Absent: Gord Macpherson (Northtowne)

Motion: approve minutes from previous mtg – 1st: M, 2nd: W

President’s Report:

  • Recycle bins – reviewing options and may change to one large bin – to be discussed at a quick special mtg this month once more info is available

  • Parking lot line painting, reviewing vendors, equipment rental, asking G to assist with quotes and possibly using paid volunteers

  • Consider skipping lot sweeping if not necessary

    • All in favour & will review more once evaluated and painting quotes rec’d

  • Business zoning variance application – Event planning business on site, zoning ok, no increased activity or traffic to the complex for online business

Treasurer’s Report:

  • All prior month financials – ok’d

  • Motion: approve – 1st L, 2nd D

Maintenance Report:

  • Met with VDM (Brandon) – about tree replacement, additional trees, maintenance

    • Additional landscaping btwn buildings on new highway side of property, proper drainage especially at the north end and dealing with grass kill areas

  • B followed up with concrete contact for quote

  • Carpet cleaning (Superior Chem Dry) – set for June (booked June 10)

  • B/D met with insurance adjuster re: water damage units

    • Will continue to investigate in the upcoming days and will use a vendor (ie: Pat to assist with necessary remedial work)

  • Painting quotes – in progress

  • Window cleaning – will be complete after parking lot work (windows booked June 8&9)

New Business:

  • Freedom Fire – booked for fire alarm/inspection May 19-21

    • Inspectors will have PPE, will need access to each unit, etc – notice to be posted on FB 1st week of May, email from G & reminder posted on FB

Parking Report:

  • Review parking lot cracks, may need to be tarred

  • Owner X purchased garage that was for sale

  • Other parking permits all ok – some spots sold and others changed with owner/renters

Old Business:

  • Social media: LJ connected with RC (ongoing plan for the website to do monthly updates with a helper) – will have more of an update after July once LJ’s work slows down to allow time to coordinate

  • Roof inspection to be arranged – some buildings missing shingles

  • Eavestroughs needing repaired – contact Moe

  • Question about size of dog limits
