Board Meeting #5 - Jan 8, 2020

Hayley Common Board Meeting January 8, 2020 Called to order: 3:07pm Present: Brian (Pres), Wayne (VP), Doug (Director), Lynda (Secretary), Gord (Northtowne) & Marc (Treasurer – joined at 4:30) Motion: approve minutes from Oct24 meeting – 1st: D, 2nd: B President’s Report:

  • Audit Approval – approved/shared

  • Haven’t rec’d invoiced yet – B will follow up

Treasurer’s Report:

  • No issues with prior month statement – reviewed

  • Dakota Lock & Safe invoice - paid

Maintenance Report:

  • One door issue on Bldg A – fixed

  • One tenant/water issue inside unit – owner issue to address/resolve

  • 8 addt’l solar lights were received and installed along walkways/fence lines

  • 2 units with previous water issues – holding w/ insurance inspector for further investigation with warmer weather/spring melt, etc

New Business:

  • Motion walkway lights, along the fence, requested additional, B to look into pricing and buying more to install

  • Social media – typos flagged, page edited and sent to Randeen, need parking info more prominent on page, condo board email link isn’t working & can be fixed, insurance certificate link needs fixed, may ask SR to create a website launch(?), B suggested posting financials monthly on web page (blog?)

Parking Report:

  • 3 duplicates tags located, W is continuing to monitor and collect any dups

  • Complaints about AOP - addressed

Old Business:

  • Social media update – DF provided suggested rewording for owner box/paragraph – and share text from B to replace text in the condo/box paragraph - sent to RC to replace text on website

  • Plan suggested to send coloured financials to RC monthly to post on website

  • Hayleycommons.webstarts.com (website address) to be shared with all owners this month via Northtowne/email communication

  • Ask MAL/SR to create feature sheet to post in-building (in progress)

  • Drone views/images of roofs…pending (better weather)…and time available

  • Security related issue/concern – sent email to all owners, encouraged all to capture photos, plate & vehicle info and to contact the RCMP asap as needed

  • Emergency info – updated – laminate, post x 14

  • Audit info posted – Northtowne/G will send out as needed

  • Contacting potential vendors and service providers – G & D to compare vendors & service descriptions

  • Fire hydrants – fixed in the past 2 mos by KC

  • Modest fee increase in paperwork/doc services from Northtowne for buyers/sellers

New Business:

  • Insurance increases for overall annual costs for condo complexes – ours ^ from $5000 to $25000 (premium on claims) – IBAM – get options & opinions on insurance

  • Rent levy – section 212 permits $1500 levy to be added, review and add to declaration if needed
