Hayley Common Board Meeting

Wednesday, January 24, 2024

Present:  Heather, Evan, Kevin, Ken, Lynda (missing Lori)

Called to order 5:11pm


Review of Previous minutes: all reviewed


President/Treasurer’s Report:

·        Yard care invoice questioned – ok’d

·        Budget vs actual – requested from Terry @ NT, waiting to receive

o   Need meter #s to match with buildings and garages/lot plugs

o Publish on Buildium

·        Need to contact RM of Ritchot to request all site & service maps – sewer, water, electrical, land/layout, etc.


Parking & Maintenance Report:

·        Parking paid/free

o   $170 in parking used Dec’23 for overnite park

o   20 used/5 free in Jan’24

·        Sand refill, WD40, door sweeps/vinyl, pigeon deter/owls purchased

·        Snow clearing – contract specs not being followed by vendor, being monitored, lot clearing scheduled for clean up/melt aid due to drainage problems

·        Various door issues, most resolved, some pending further repairs soon with warmer temps

·        Hallway heaters set & regularly monitored

o   Plan communication to advise all

o   Heater lock/block options utilized where needed at entrances, will consider long term fix if needed

·        Parking board maintenance and other basic repairs, look at purchasing a reciprocating saw – ok’d to purchase

·        Intercom F – L has program info on a USB stick, entry updates to be added again when temps permit, system doesn’t always save entries and it’s clunky to input/edit

·        Intercom issues survey – little feedback received, but 2 buildings stand out and will work with a local service vendor to test and inspect

o   H and L will work together to select a test date when all are available and will advise units

·        Need cost for possible lockboxes if installed on site if service vendors need access (under review)

·        Paint quote requested – 2 painters came to estimate, 1 quote rec’d other expected

·        Review BOD roles for the future

·        Will need to recruit new members again closer to the AGM so owner are aware of the opportunity

·        Rules and Regs – updated for no urine/feces on patios or any common area except those designated for pets, all parking to be booked on HC website, no cancellations, book by week or month

o   Advise in next general, all owner communications

·        At AGM, review smoking in units?  Yes

·        Utility room drains, share awareness to check/inspect in next all owner communication

·        Propose meeting on 3rd Wednesday of each month – all in favour
