Hayley Common Board Meeting
November 3, 2020
Called to order 7:01pm
Present: Brian (Pres), Doug (Director), Wayne (VP), Lynda (Secretary), Marc (Treasurer) + Stanton (MAL) joined temporarily
Absent: Gord Macpherson (Northtowne)
Motion: approve minutes from previous mtg – 1st: Marc, 2nd: Wayne
President’s Report:
Petty Cash on site - cancelled due to restrictions wih the securities commission per Northtowne
ABM – remains pending, will provide annual report & survey if we can’t meet in person due to health guidelines & restrictions according to Gov MB
Unit X complaint - missing condo rules & regs (should be posted at both doors in each building & will need reviewed/updated
Treasurer’s Report:
All prior month financials – ok’d
Motion: approve – 1st Lynda, 2nd Wayne
down payment for insurance (Aug) & first month’s premium (included) so the month of Oct doesn’t show this item
paint invoice rec’d late & paid
roofing invoice paid 9/9/2020 but no on P&L
if greater surplus at end of yr, will put into reserve
Landscaping Report:
contract set for snow/maintenance with VDM locally
Maintenance Report:
firewall cover / metal cap on the roof may be causing the leaks in A (around units X & X) and for Bldg C - edge of roof overlay, add sealant and caulk (pending)
Parking railing issues – will need repaired by electrician

Gates: on order – install date expected early Nov2020
Gerald Heibert from Langside - local electrician, will do parking lot railing electrical repairs
acrylic repair - 1 small spot from vehicle damage, noted for repair
complaints re: recycle service or parking along highway - owners/residents should call or email RM of Ritchot
outside common area lights - B is still booking for lenses to replace current, sourcing suppliers
downspouts all anchored up for winter / secured with ties
Parking Report:
marking any new AOPs for tracking
a few owners looking to rent spaces
long term (monthly) rentals are typically being parked in AOPs
1 owner sold a parking spot - emailed G @ Northtowne
Social Media:
all info now shared in Board Google Drive account (access for all board members)
blog posts can be updated monthly or after each meeting as able
we can add the website address to the FB page to help lead owners & residents to posts shared there on the blog
financials will be updated monthly on the website blog (only the latest month will be posted, replacing the prior month’s report)
general info to all owners will continue to be sent out via email from Northtowne

Old Business:
gates are built & painted, awaiting shipping and then installation will be scheduled asap pending temps
New Business:
existing condo docs have provision to allow the board to update/add a renter’s levy - start this as soon as it can be set up and communicated - set at $1500 for all new renter to any unit - commence Jan1/2021

retroactive to all current renters or notice in writing that owners will be liable for any renter damage to the property or any common element
Rental/leasing levy – needs to be added to condo docs, regs & policies
painting quote rec’d from Duey painting, other quotes will be forthcoming
