Board Meeting #12 Minutes - Sept 22, 2020

Hayley Common Board Meeting

September 22, 2020

Called to order 7:01pm

Present: Brian (Pres), Doug (Director), Wayne (VP), Lynda (Secretary), Marc (Treasurer)

Absent: Gord Macpherson (Northtowne)

Motion: approve minutes from previous mtg – 1st: M, 2nd: D

President’s Report:

  • Petty Cash – L to check with G

    • G to arrange etransfer of $500.00 to L for Petty Cash Float

  • ABM – B has a mtg with TC Energy Center and will review if meeting any time soon is an option

  • Condo Fee increase – will occur Nov1, flat rate increase per unit & communication sent by Northtowne to all owners

Treasurer’s Report:

  • All prior month financials – ok’d

    • Motion: approve – 1st L, 2nd W

  • $150 charge for Aug2020 – to be reviewed

Landscaping Report:

  • Landscape (DB/MAL & VDM) have done a great job – slow release fertilizer, installed solar lights on light posts, landscaping plan still in the works, sump pumps available on site if needed, B looking for light lenses for common area outdoor lights, downspouts will be tied up with ball ties this fall

Maintenance Report:

  • Fence repaired (JB/MAL) – repaired great

  • Units X, X & X – ongoing issues (leaks, not resolved)

  • Parking railing issues – will need repaired by electrician

    • Motion to spend $500 on repairs: 1st M/2nd L

  • Gates: on order – install date expected early Nov2020

Parking Report:

  • Parking permits all ok & a couple parking spot sales in the past month

  • Parking spot plates moved to reflect sales and identify newly relocated visitor spots for better community coverage

Old Business:

  • Social media: minutes will all be generalized and posted as blog posts on our HC website: https://hayleycommon.webstarts.com

  • Monthly financials to be posted under a separate category – also a blog post

New Business:

  • Rental/leasing levy – needs to be added to condo docs, regs & policies

  • Dog size limit to be removed – new pets to be communicated & approved by the board so owners are aware of requirements to be responsible pet owners on site

  • Will ask J/MAL re: option to have condo checks for absentee owners/renters during winter travel months

  • D resigning for now – may re-evaulate in time due to personal / J willing to assist with some on-site general repairs/maintenance

  • Will invite MALs to assist board

Next meeting: early Nov (TBD based on covid restrictions)
