Hayley Common Board Meeting

Wednesday October 18, 2023


Called to order: 1700hrs

Present: Heather, Evan, Lynda, Brad (MAL), Kristine (MAL), Sara (MAL)


1.    Presidents Report & Treasurers


Financials – good


Cleaning quotes – renewal in

  • 1 quote too high 

  • 1 quote comparable, but provided their own equipment

  • Will counter $700 with supplies included


Intercom quotes – Pending

  • Looking at options and locally with quotes to break down and present


Efficiency MB review

  • Not proposing a significant investment now as cost would be 8k so not advised

  • Looking at getting some light sensing bulbs to start – Brad will get some bulbs with built in sensors for entrance interior in G and will request resident feedback – will post signs


  Roto Rooter inspection

  • No blockages in either main line, some line drops

  • Provide units with information to provide feedback about which drains, which time of day


2.    Committee Reports:


Parking report                                             

  • Primarily one owner using multi use 

  •  A few free passes


Landscaping

  • Trimming looks good, grass too

  • Sidewalk repairs placed for next year

  • 14 entrances needing salt for exterior - does it have to be pet friendly – will look at price difference


3.    Old Business


Linda to check with Andrew at Trudel and see if he has interest/date or advise when can check with other rosters/eaves companies

Long term planner – still need volunteers

Parking changes proposed and reviewed

  • Change overnight fee and increase

  • Weekly or monthly, no cancelling

  • Ask terry for a monthly summary of e-transfers for parking (visitors)

  • Propose using a shared email – hayleycommon2019@gmail.com

Electrical work on outlets, Jeremy fixed and done

Snow plan – Evan will review with Chris K and provide a map of where not to dump snow

Communication improvements for terry like meter readings etc. between the board and NT

Full lot clearing will be approximately 2 days notice, post on doors, website, notice email and Facebook

Painting quotes next after intercom quotes, plan to refresh a building per year
